Privacy Policy

Indexly automates IndexNow submissions, domain monitoring, and related workflows for launch teams. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. By using Indexly you agree to this policy. If you do not agree, please discontinue use of the Service.

The Service includes the web application, APIs, automations, and supporting tooling we operate for customers and waitlist members.

Information We Collect

Information you provide

  • Account and profile data such as your name, email address, role, and responses you supply when requesting access or joining the waitlist.
  • Operational content including domains, XML sitemaps, IndexNow keys, API credentials, payload templates, automation preferences, and notes you create in Indexly.
  • Billing and subscription metadata submitted through our payment processors. Indexly does not store full payment instrument numbers.
  • Support interactions, survey responses, incident reports, and other messages you send to our team.

Information collected automatically

  • Analytics signals about product usage, such as pages viewed, buttons clicked, job statuses, referrers, device type, browser, and timezone or region derived from IP metadata.
  • Service logs that capture request identifiers, domain submission events, payload results, scheduler output, and error traces so we can troubleshoot and measure reliability.
  • Network data including hashed IP addresses that help us detect abuse, rate-limit automation, and protect the Service from misuse.

Information from other sources

  • Identity, authentication, and security signals from our auth providers so we can verify accounts and enforce access policies.
  • Billing confirmations, plan entitlements, and charge status from payment vendors when you subscribe or update your plan.
  • Optional AI outputs from providers such as OpenAI when you trigger features that generate payloads or summaries. We send only the data required to fulfill the request.

How We Use Information

  • Operate, maintain, and improve automated IndexNow submissions, monitoring dashboards, and related analytics.
  • Provide customer support, respond to questions, and communicate about product improvements, policy updates, or service changes.
  • Measure engagement, experiment with features, and improve detection accuracy for queued submissions and health alerts.
  • Enforce acceptable use policies, prevent abuse or fraud, and comply with applicable legal requirements.

Legal Bases for Processing

If you are located in the European Economic Area, United Kingdom, or a similar jurisdiction, we rely on different legal bases to process your personal information. These include performing our contract with you (for example, delivering automation features), our legitimate interests (such as improving reliability and preventing abuse), compliance with legal obligations, and your consent where required.

How We Share Information

  • Service providers that host infrastructure, manage observability, process payments, send email, or deliver customer support. They may only use data on our behalf and under contractual confidentiality obligations.
  • Authorized Indexly personnel who require access to perform their job duties, subject to role-based controls and audit logging.
  • Other users when sharing is inherent to the Service, such as team members seeing shared automation settings or audit history in a workspace.
  • Regulators, law enforcement, or other parties when we believe disclosure is necessary to comply with law, protect Indexly or its users, or investigate security incidents.

We do not sell your personal information.

AI-Facilitated Features

Some Indexly features use optional AI services to assist with payload creation, anomaly summaries, or recommendations. When you enable these features we transmit the minimum viable context—typically URL metadata, structured status data, or aggregated analytics—to the AI provider. We instruct providers not to train on your prompts or outputs. Review generated content before acting on it.

Your Rights and Choices

  • Access, update, or delete profile information inside your account settings or by emailing us.
  • Request export or deletion of automation data. We may retain certain records where required for legal, security, or billing purposes.
  • Manage marketing communications by using unsubscribe links in emails or contacting us to adjust preferences.
  • Control cookies and analytics technologies via browser settings. Essential functionality may depend on core cookies.

Depending on your jurisdiction, you may have additional rights such as objecting to processing, requesting restriction, or lodging a complaint with a supervisory authority. We respond to verified requests within one business day.

Data Retention

We retain personal information only as long as needed to deliver the Service, fulfill the purposes described above, or comply with legal obligations. When information is no longer required, we delete or de-identify it according to our retention schedules.

Security

Indexly implements administrative, technical, and organizational safeguards to protect information. These include HTTPS everywhere, encryption of sensitive credentials at rest, role-based access controls, secrets rotation, and continuous monitoring for anomalies. No system is perfectly secure—please notify us promptly if you suspect unauthorized access.

International Data Transfers

Indexly is operated from the United States. If you access the Service from another region, your information may be transferred to, stored, and processed in the United States or other countries where our providers operate. We implement appropriate safeguards, such as contractual data protection terms, for cross-border transfers.

Children’s Privacy

Indexly is not directed to children under 16, and we do not knowingly collect personal information from them. If we learn that a minor under 16 has provided personal information, we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy to reflect operational, legal, or regulatory developments. When we make material changes we will notify you through the Service or via email and update the date at the top of this page. Continued use after changes take effect indicates acceptance of the revised policy.
